Job Summary

Under the supervision of the Manager of Corporate Services, the Administrative Assistant I, positions provide a variety of administrative support for the corporate office and InnovAge executives and professionals, in addition to assisting with projects that are both short and long term.

Essential Functions and Work Responsibilities

Functional Category: Administrative Support

Estimated Percent of time Spent 100%

  • Completes the opening and/or closing of the office.
  • Answers and directs all incoming calls to appropriate individuals and departments.
  • Greets and/or directs visitors and employees courteously and with a focus on hospitality.
  • Provides factual information about InnovAge programs and services to participants, families, outside agencies and the general public while maintaining the highest level of customer service.
  • Receives, sorts, scans and distributes mail and electronic faxes in a timely manner.
  • Performs basic maintenance of office equipment such as filling copiers with paper and changing toner cartridges.
  • Maintains kitchen and storage rooms and ensures that areas are neat and stocked with appropriate supplies.
  • Receives and completes miscellaneous projects from varying managers with accuracy and timeliness.

High School Diploma or equivalent

Work Experience and Qualifications


Minimum of one year of experience as a receptionist, customer service representative, office clerk or similar office position

Current experience providing customer service and maintaining professionalism under pressure, in addition to dealing with an environment that can be chaotic at times.

Strong and current experience receiving, transferring and placing calls on hold utilizing a multi-line phone system.

Experience and current knowledge of multi-line phone systems, mail and fax handling, and use of standard office equipment such as copiers, printers, fax machines, postage meters, scanners and computers.

Experience with explaining programs and issues to a wide variety of individuals which include employees, vendors, clients, participants and their families

Other Knowledge Skills and Abilities Required

Computer Skills

Must be computer proficient and possess experience with Microsoft Word, Excel, and Outlook.

Must be able to quickly learn specific software and new applications.

Mathematical/Financial Skills

Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Able to analyze data and statistics and draw reasonable conclusions and compile accurate reports.
